Terms & Conditions

The agreement between you and eXvo Travel when you book a journey with us. Written to be read, not to hide things.

Who these terms are with

These terms form the agreement between you and eXvo Travel of Kibanda Maziwa, Sakina, Arusha, Tanzania. Where several people travel on one booking, the person who makes the booking confirms they have authority to accept these terms on behalf of everyone named on it, and is responsible for payment.

You accept these terms when you confirm a booking and pay a deposit.

Making a booking

A quotation is not a booking. Prices quoted are held for the period stated on the quotation and remain subject to availability until confirmed.

A booking is confirmed when we receive your deposit and issue a written confirmation. Please check that confirmation carefully, particularly names, dates and traveller details, and tell us within seventy-two hours if anything is wrong.

Prices and what is included

We quote one all-in price per person with an itemised list of what it covers. Where a quotation is issued and accepted, we will not add fees afterwards.

Unless your itinerary says otherwise, our prices include accommodation on the basis stated, park and conservation fees, a private vehicle and guide, listed activities, and transfers. They exclude international flights, visas, travel insurance, tips, premium drinks and personal spending.

  • Group Safaris: the one standard exception. A shared vehicle on a fixed date, priced and booked per seat rather than quoted per itinerary. These terms still apply to what a seat includes; see the Group Safaris page for current departures.
Price changesWe reserve the right to pass on increases in government park fees, conservation fees or taxes imposed after your booking is confirmed. This is rare, we will evidence it, and if such an increase exceeds eight percent of your total you may cancel and receive a full refund of what you have paid.

Payment

A deposit of thirty percent of the total confirms your booking. The balance is due sixty days before arrival. Bookings made within sixty days of arrival are payable in full at confirmation.

If the balance is not received by the due date we will contact you before taking any action. We reserve the right to treat a booking as cancelled where payment remains outstanding, in which case our cancellation terms apply.

Travel insurance

Comprehensive travel insurance is a condition of travelling with us. Your policy must include medical treatment, emergency evacuation and repatriation. We strongly recommend it also covers cancellation, curtailment and baggage.

We will ask for your policy details before departure. We are not able to accept responsibility for costs that adequate insurance would have covered.

Passports, visas and health

You are responsible for holding a passport valid for at least six months beyond your travel dates, obtaining any visa required, and meeting health and vaccination requirements for Tanzania and for any country you transit.

We will tell you what we know of current requirements, and we will tell you honestly where you should verify it with your own embassy, but the requirements are yours to meet.

Changes by you

Tell us as early as you can. Before your balance is due, we can usually change dates, length or accommodation with no charge from us, though suppliers may charge their own fees, which we will show you before proceeding.

Changes requested within sixty days of arrival may be treated as a cancellation and rebooking.

Changes by us

Safari itineraries occasionally change. A camp may close, an airstrip may be unusable, a road may wash out, or your guide may judge that conditions make a planned route unsafe or pointless.

Where a change is minor, we will make it and tell you. Where a change is significant (a different park, a materially different standard of accommodation, or a shortened journey), we will contact you and offer an alternative of at least equivalent standard, or a refund of the affected portion.

Your guide has our authority to change a plan in the field where safety or a better opportunity requires it. That is a feature of how we run journeys, not a breach of them.

Our liability

We accept responsibility for arranging your journey with reasonable skill and care, and for the acts of our own employees and vehicles.

We are not liable for failures caused by you, by an unconnected third party, or by circumstances beyond our reasonable control, including weather, wildlife behaviour, civil unrest, epidemic, airline or airstrip closure, and government action.

Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for fraud.

Wildlife, and what cannot be promised

These are wild animals in open ecosystems. We will position you as well as knowledge and season allow, and we will be honest about the odds, but no operator can guarantee a sighting of any species, a river crossing, or any particular natural event. Anyone who does is guessing.

Complaints

If something is wrong during your journey, tell your guide immediately. Almost everything can be fixed on the spot and almost nothing can be fixed afterwards.

If it cannot be resolved in the field, write to hello@exvotravel.com within twenty-eight days of your return and we will investigate properly.

Governing law

These terms are governed by the laws of the United Republic of Tanzania, and the courts of Tanzania have jurisdiction. Nothing here affects rights you hold under the law of your own country that cannot be excluded by agreement.

Questions about this policy

Write to us and a person will answer. We do not use a legal inbox that nobody reads. If something here is unclear or you think it is wrong, we would rather hear it than not.
