Cancellation Policy

What happens if you have to cancel, what happens if we do, and why the scale tightens as you approach the date.

If you cancel

Cancellations must be made in writing to hello@exvotravel.com and take effect on the day we receive them. Charges are calculated on the total cost of your booking.

More than 90 daysDeposit forfeited (30% of total)
60 to 89 days50% of total
30 to 59 days75% of total
Fewer than 30 days100% of total
No show, or curtailment after arrival100% of total, with no refund for unused services
Why it works this wayThese charges reflect what camps, charter operators and park authorities charge us, and most of it is already paid out on your behalf before you cancel. We are passing on a cost, not levying a penalty.

Why insurance matters more than this page

Almost every reason people cancel (illness, bereavement, a family emergency, a missed connection) is covered by a decent travel insurance policy, and is not covered by us.

This is why we make comprehensive insurance a condition of travelling with us, and why we ask you to buy it at the point you pay your deposit rather than shortly before departure. A policy bought the week before you fly will not cover a cancellation caused by something that arose in the months between.

If we cancel

We will only cancel your journey where we have no reasonable alternative, for example a government closure, a serious safety concern, or a failure by a supplier that we cannot replace to an equivalent standard.

If that happens, you may choose a full refund of everything you have paid us, or an alternative journey of at least equivalent standard with any difference in price refunded or payable. We will not charge an administration fee for a cancellation we caused.

We are not able to refund international flights, visa costs or insurance premiums you have bought independently, which is another reason to hold a policy that covers them.

Group Safari departures that do not reach the minimum

This is separate from the cancellation charges above. Nobody is cancelling; the departure simply has not reached the traveller minimum it needs to run as a shared vehicle.

  • Group Safaris: current fixed dates and seat availability for shared-vehicle departures.
  • Fewer than two travellers 45 days out: you choose another departure, an upgrade to a private journey for the difference in price, or a full refund of everything paid. None of the cancellation bands above apply to this refund.

Circumstances beyond anyone’s control

Where a journey cannot proceed because of events outside our reasonable control (extreme weather, epidemic, civil unrest, airspace or border closure, or government action), we will do everything we can to recover funds from camps and operators on your behalf and refund whatever we recover.

We will be transparent about what is recoverable and what is not, and we will not retain a margin on money we get back. Where possible we will offer to move your journey rather than cancel it, and most camps will hold a credit in these circumstances.

Changing instead of cancelling

Before your balance is due, moving your dates is usually far cheaper than cancelling, and we will always look at that first. Tell us as early as you can. The difference between ninety days and sixty days is substantial.

Refunds

Where a refund is due we will pay it within fourteen days of agreeing the amount, by the method you originally used. Bank charges and card processing fees already incurred are not recoverable.

Questions about this policy

Write to us and a person will answer. We do not use a legal inbox that nobody reads. If something here is unclear or you think it is wrong, we would rather hear it than not.
